eProcurement Administrator & Analyst

Position Description

The e-Procurement Administrator & Analyst is responsible for effective provisioning, configuration, operation, and maintenance of the Jaggaer e-Procurement system. This individual participates in technical research and development to enable continuing innovation. This individual ensures that system procedures adhere to all regulations and organizational values, enabling staff and vendors. This individual will provide key analytics regarding vendor and product utilization, as well as play an integral role updating the annual spend analysis for the University.

Reporting directly to the Director of Procurement, the eProcurement Administrator & Analyst will play a key role in procuring and developing strategic sourcing strategies for high-quality and cost-efficient products and services, while maintaining positive internal and external business relations. This role will also be contributing to our sustainability and diversity goals related to procurement practices, all in compliance with university policies and procedures as well as all applicable Federal and State rules and regulations.


Essential Job Functions:


System Management (34%)  

  • Oversee and manage eProcurement and Invoicing software.
  • Troubleshoot issues with end users and develop solutions.
  • Monitor and analyze upcoming functional changes to the application by attending Web-conferences, teleconferences or other Jaggaer-sponsored activities.
  • Support regression testing during Jaggaer major releases.
  • Communicate issues to and coordinate issue resolution with Jaggaer, end users and department leads.
  • Perform analysis and support operations staff in executing, testing and rolling-out the solutions and updates.
  • Perform maintenance, troubleshooting, and upgrades of all system environments in a timely, efficient, effective and ethical manner.
  • Monitor and identify order and integration failures and communicate with appropriate parties to resolve any issues.
  • Develop and update training materials.
  • Perform other duties as required.

Procurement (33%)

  • Review order compliance and approve orders.
  • Provide assistance regarding Procurement processes, policies and procedures.
  • Answer questions about the Procurement function and how it fits into the e-Procurement system.
  • Meet with preferred vendors and consortiums.
  • Manage catalogs of preferred vendors.
  • Reconcile and troubleshoot encumbrance issues in the general ledger.
  • Prioritize and coordinate campus-wide efforts to incorporate sustainability initiatives throughout contracting practices
  • Support the supplier diversity program, in partnership with the Office of Diversity and Inclusion, to increase the percentage of university spend with diverse suppliers.
  • Assist with RFIs/RFPs and perform other duties as required.

Analysis (33%)  

  • Identify and implement improvements and optimize opportunities available in the e-Procurement solution.
  • Identify and employ [FD3][GA4] data and metrics monthly, quarterly and annually to manage the effectiveness and efficiency of the strategic procurement function.
  • Prepare and manage coordination/production of all system and vendor reports and presentations.
  • Update the annual spend analysis on behalf of the Procurement Office.
  • Extract and analyze imperative data to identify and recommend strategic sourcing opportunities.
  • Continually evaluate products and services offered by existing and prospective vendors and make data informed recommendations/revisions.
  • Complete the full analytics lifecycle from understanding business objectives and understanding the data to develop automated reporting and visualizations.
  • Maintain PowerBi spend analytics dashboards for the Procurement Office.
  • Perform other duties as required.

Qualifications

  •  Bachelor’s degree from an accredited college or university, and 4 years relevant experience.
  • End-user technical support with clients and vendors with experience troubleshooting and resolving system errors.
  • Ability to work collaboratively with internal and external constituents.
  • Demonstrated ability to analyze information, situations, problems, policies and procedures to formulate logical and objective solutions.
  • Experience importing, exporting and manipulating data with data visualization tools (Tableau, Power-Bi, Excel, etc.)
  • Demonstrated high level of proficiency in the Microsoft suite of productivity applications with familiarity with enterprise financial systems.

Preferred Qualifications

  • Graduate degree in one of the following areas relevant fields, Business, Finance, Data Science or Data Analytics Higher education experience.
  • Experience administering an eProcurement system.
  • Knowledge of Jaggaer e-procurement technology and experience with Colleague (or other accounting/financial systems)
  • Experience configuring and supporting workflow and managing system user profiles.
  • Background in or knowledge of Procurement.
  • Experience with cloud-based technology.
  • Experience with report generation.
  • Familiarity with Python, SQL and CXML program languages.

Compensation at a Glance:

Salary Range: $72,000 - $80,000

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate’s gender or any other protected status.
