Position Description
Position Description:
Reporting to the Associate Registrar, Academic Programs, this role serves as an academic policy and degree requirements resource for faculty and students regarding all undergraduate and graduate degrees, specializations, certificates, and minors; is the main Office of the Registrar contact for all professional and faculty academic advisors throughout the University; is the official graduation evaluator and program-related forms processor for all of the student body; and serves as backup to the Athletics and Veterans Affairs certification officers. Academic Specialists work as a team of three sharing the student body by alphabet. Although this role is instrumental to an excellent student experience, it does not involve direct support to students.
Duties will typically be performed during university business hours (Monday-Friday 8 am-4:30pm). Registrar office staff are asked to work commencement, which often falls on weekends and evenings. In-person office in a cubicle environment with majority screen-time work. Staff Flexwork policy allows for a hybrid work schedule, with supervisor approval after a probationary period.
This position supports the student/faculty-facing service desk requiring face-to-face, phone, and email interactions.
This is an exciting time to join the Seattle University Office of the Registrar as we undergo a campus-wide curriculum reimagination effort and the implementation of a new state-of-the-art enterprise management system in the next 2-5 years. Essential Functions:
- Evaluating student records for progress towards graduation.
- Processing program changes, transfer requests, transcripts and other forms to keep student records accurate.
- Developing and maintaining a comprehensive knowledge of academic resources, policies, and processes.
- Collaborating via email and phone with various student, staff, and faculty partners.
- Managing multiple e-mail and e-form inboxes.
- Being a proactive and supportive member of a small, tight-knit team.
Qualifications
- Bachelor's degree and a minimum of one (1) years of experience in an educational environment in the areas of general academic advising, transfer evaluation, or records; OR an equivalent combination of education and experience sufficient to perform the essential duties of the job.
- Demonstrated experience with interpretation and application of formally regulated policy.
- Demonstrated experience with enterprise resource planning software.
- Ability to manage multiple electronic inboxes including email and eform platforms.
- All candidates must show a demonstrated commitment to diversity and the university's mission, vision and values.
Preferred Qualifications:
- Customer service experience.
- Experience with Ellucian’s Colleague ERP.
- Experience using degree audit software.
- Prior work in a university Registrar’s and/or Admissions Office.
- Microsoft Excel query and/or SQL report building skills.

Compensation at a Glance:
Salary Range: $43,800 - $52,400
Seattle University has provided a compensation range that represents
its good faith estimate of what the University may pay for the position at the
time of posting. The salary offered to the selected candidate will be
determined based on factors such as the qualifications of the selected
candidate, departmental budget availability, internal salary equity
considerations, and available market information, and not based on a
candidate’s gender or any other protected status.

Hybrid Eligible*
This
position may be eligible for a hybrid schedule after successful completion of
an introductory work period of 3-6 months. This may mean that a hybrid eligible
role will begin on-campus initially and then will transition to hybrid format
following onboarding and training. Flexible work plans are subject to periodic
review and may be changed or terminated at any time for any reason at the
university’s discretion.
