Position Description
The
Faculty Legal Administrative Assistant serves as an essential part of
Seattle University School of Law faculty support team by providing
administrative support for the adjunct faculty, career faculty, including
providing reception/administrative support for the faculty office area.
Additionally, the position provides administrative support for the School of
Law Flex JD Program. This position reports to the Assistant Director for Administration.

The essential duties of this position include:
Reception: Greet and direct students and community members, including adjunct
faculty. Developing a warm, welcoming and hospitable presence at
the front desk is a key part of fostering a sense of community and
service.
Faculty/Program Administrative Support: Support the Adjunct Faculty and
Career Faculty in their teaching, academic, research and program needs.
- Serve as a knowledgeable point of contact for the Flex JD Program for current
and prospective students regarding program format, requirements, time
commitments, and support services.
- Direct current and prospective students to
the Director or other teams as appropriate (Registrar, Financial Aid, etc).
Create and update resources for current students on the Flex JD Information Hub
Canvas Page.
- Assist with managing membership of the Flex JD Information
Hub Canvas Page Place book orders for faculty.
- Work with
Parking Services to streamline parking arrangements for faculty and
guests.
- Provide administrative support to faculty as it relates to
their teaching and research. Manage faculty course
syllabi/agendas.
- Assist with classroom logistics and any required
coordination with the School of Law's Registrar's Office.
Coordination
of Classroom and Event Needs: Serve as the liaison
between the Faculty and the School of Law Event/Technology offices for all
academic events and trainings.
- Ensure that all event details are
addressed (i.e., event reservations, menu, parking, technology,
A/V). Support and coordinate the Faculty student events.
- Work
with Faculty, staff and students to create materials and electronic
messages to advertise and promote programs.
- Assist in the planning,
scheduling, and hosting of on campus or virtual events including orientation,
Flex JD Weekend courses, and webinars or virtual sessions.
- Support the
logistical coordination of the Flex JD Weekend courses including room
reservations, signage, developing schedules, catering orders, and technology
needs.
Communications: Review and update Faculty content of the website for
accuracy (solicit updates from faculty/staff each term).
- Maintain
relationship with the Communications department to ensure consistency of style
and message.
- Ensure that all upcoming events are listed on the digital
calendar. Assist in the proofreading and copy editing of internal and
external communications (e-mails, formal letters, marketing materials).
Academic
Support Team: As a member of the academic support team, support and be a
positive colleague and team member with other faculty support staff and staff
in the School of Law.
- Coordinate with the Registrar, Dean's Office and
other School of Law departments for faculty and program information.
- Other
duties as assigned.
Qualifications
- High
School Diploma plus at least five years office support experience including
document processing, spreadsheet creation/modification, and data
entry/retrieval skills or an equivalent combination of education and experience
sufficient to successfully perform the essential duties of the job such as
those listed above.
- Diplomacy and confidentiality is required in all aspects of work in this
position.
- Must have the ability to make independent judgments and resolve issues and
manage conflict.
- Be able to prioritize projects and tasks, recognize the complexity of work
projects and tasks, and develop and implement the process required to manage
these activities to their successful completion.
- Ability to establish, organize and maintain complex records and files in
electronic and paper formats.
- Excellent organizational skills and the ability to perform multiple tasks
concurrently, with keen attention to accuracy and detail, with minimum
supervision.
- Experience in office setting working with Microsoft Office software.
- Excellent written and verbal communication skills. Must be able to work
collaboratively and communicate effectively with a diverse population.
Preferred Qualifications:
- Bachelor’s degree with work experience in a legal field and/or educational
environment.

Compensation at a Glance:
Salary Range: $42,900 - $43,500
Seattle University has provided a compensation range that represents
its good faith estimate of what the University may pay for the position at the
time of posting. The salary offered to the selected candidate will be
determined based on factors such as the qualifications of the selected
candidate, departmental budget availability, internal salary equity
considerations, and available market information, and not based on a
candidate’s gender or any other protected status.

Hybrid Eligible*
This
position may be eligible for a hybrid schedule after successful completion of
an introductory work period of 3-6 months. This may mean that a hybrid eligible
role will begin on-campus initially and then will transition to hybrid format
following onboarding and training. Flexible work plans are subject to periodic
review and may be changed or terminated at any time for any reason at the
university’s discretion.
