IT Procurement Specialist

Position Description

Information Technology Services is the core IT function for Seattle University, with a team of employees and part-time students who are fully committed to supporting our mission: "Seattle University is dedicated to educating the whole person, to professional formation, and to empowering leaders for a just and humane world." As a member of IT Services and reporting to the Director of Customer Experience, the IT Procurement Specialist supports the organization by overseeing all aspects of the technical purchasing program, coordinating the computer refresh program, and acting as a liaison to the Service Desk for deployments.  

This position is eligible for remote work twice a week after a training period.  

Essential Job Functions and Responsibilities:

Technical Purchasing and Customer Service (60%)

  • Collaborate with IT Services staff, campus members, and vendors to create standard hardware product catalogs to meet campus needs, align with technical requirements, and support environmental sustainability standards.  
  • Support routine end-user purchases: provide quotes, build virtual shopping carts, manage transactions, track orders and packages, receive goods, and document application requests.
  • Work with customers to assess their needs and ensure that Service Desk technicians have all the information required for deployment.  
  • Maintain a product release calendar for computers and tablets so that standards can be tested and updated in a timely fashion.
  • Schedule regular product review meetings and test sessions.  
  • Answer campus questions about software availability, licensing, and purchase options. Assist with sourcing, getting quotes, and purchasing.
  • Maintain knowledge of consortium agreements and sourcing opportunities. Collaborate with others on documentation for internal and external reference. 
  • Support non-routine technology purchasing, primarily by IT Services staff: contact vendors, get quotes, compile information.
  • Help coordinate RFPs in compliance with the university’s competitive bidding policy.  
  • Apply purchasing procedures and policies and recommend improvements.   
  • Provide technology purchasing reporting and trend analysis to IT Services leadership. 
  • Update websites and other written materials related to purchasing procedures, product recommendations, software availability, and personal purchasing. 

Comprehensive Technology Procurement (40% )

  • Support institutional goals of simplification, cost containment, and redirection from low-value to high-value investments.
  • Work with IT Services leadership to promote understanding of current practices, identify areas for attention, and develop projects to improve value.  
  • Field requests for application reviews and coordinate the process. Review terms and conditions and license agreements for best practices and red flags.
  • Verify adherence to IT Services standards. Coordinate architectural, security, and accessibility evaluations when required.  
  • Periodically review technology contracts to determine if renegotiation or replacement is appropriate and assist with resulting efforts.  

Marginal Job Functions

Qualifications

  • Experience in purchasing.  
  • Working knowledge of IT hardware, spare parts, and standard business software.  
  • Customer-focused approach.  
  • Strong Microsoft business application skills.  
  • Effective listener with communication skills and the ability to produce effective, professional, and accurate written correspondence. 
  • Able to establish productive working relationships with internal teams and external vendors. 
  • Detail-oriented self-starter: able to rapidly switch tasks, take initiative to solve problems, and elevate issues in a timely manner. 
  • Personal accountability for project timelines and milestones. 
  • A demonstrated commitment to diversity, inclusion and equity, and the ability to live out the university’s mission, vision, and values. 
  • Ability to lift and carry boxes of up to 25 pounds.  

Preferred Qualifications 

  • Buyer/procurement agent and vendor management experience.  
  • Understanding of purchasing systems, company price/part lists and familiarity with accounts payable transaction processing including procure-to-pay and invoice processing.  
  • IT ticketing system knowledge.  
  • Experience working in higher education.

Compensation at a Glance:

Salary Range: $70,000 - $80,000

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate’s gender or any other protected status.

Hybrid Eligible*
This position may be eligible for a hybrid schedule after successful completion of an introductory work period of 3-6 months. This may mean that a hybrid eligible role will begin on-campus initially and then will transition to hybrid format following onboarding and training. Flexible work plans are subject to periodic review and may be changed or terminated at any time for any reason at the university’s discretion.
