Position Description

Reporting to the Assistant Provost of Graduate Enrollment, the Assistant Director of Graduate Systems supervises a team of technical and operations professionals and directs a diverse set of systems, database integrations, and technical operations designed to streamline and optimize graduate admission and enrollment functions. This person will have a deep understanding of Technolutions Slate CRM and possess the ability to collaborate with various stakeholders across the university to optimize processes, ensure data integrity, and drive system enhancements.

Essential Job Duties and Responsibilities:

Admissions Systems and Operations (65%)

  • Manage and maintain the graduate instance of Technolutions Slate CRM system, ensuring its smooth operation, performance, and security. Serve as the primary point of contact for other software systems related to Graduate Admissions.
  • Seeks to maximize internal work efficiencies and, at the same time, build a more dynamic and engaging student experience throughout the application and admission process.
  • Configure and customize the CRM to meet the needs of the university, including creation and management of user accounts, permissions, and roles.
  • Oversee quality assurance and quality control of data to ensure its accuracy and the validity of reports generated.
  • Analyze, collaborate, and problem-solve system and business process challenges, ensuring resolutions are operationally viable, scalable, consistent, and follow user-centered design to serve a diverse population of end users.
  • Assess business requirements and make evidence-based recommendations to support process improvements.
  • Manage appropriate populations, recipient lists, and reports to execute and monitor unit’s application and outreach workflow.
  • Collaborate with the leadership team to drive a continuous improvement mindset.

Supervision of Staff (20%)

  • Provide supervision and leadership for a team of three staff members and additional student positions.
  • Create and maintain a prioritization of daily work. Ensure that tasks are appropriately prioritized and completed accurately.
  • Build a culture that values belonging, is adaptable, celebrates innovation, and seeks contributions from all team members. 

Collaboration with Partners (15%)

  • Manage relationships with internal and external partners that provide data or utilize data stored in the CRM.
  • Provide data governance, security, and oversight of the partnership.
  • Train and support key stakeholders to ensure data is fully leveraged.
  • Other duties and responsibilities as assigned.

Required Education and/or Work Experience:

  • Minimum qualifications include a formal education equivalent to a bachelor’s degree in computer information systems, business, or related field.
  • Experience managing a Slate CRM system.
  • Prior experience supervising a team of technical contributors.
  • 3+ years professional experience in information technology within higher education, or related fields managing or analyzing systems and data.
  • Other job-related education and/or experience may be substituted for all or part of these basic requirements upon approval.

Preferred Education and/or Work Experience:

  • Served as a Slate Captain.
  • Experience with Colleague, Tableau software, Experience with moving data between systems using SFPT and API.
  • Proficiency with key data management languages including SQL, Python, and Java.

Compensation at a Glance

Salary Range: $77,900 - $86,300

Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate’s gender or any other protected status.

Hybrid Eligible

This position may be eligible for a hybrid schedule after successful completion of an introductory work period of 3-6 months. This may mean that a hybrid eligible role will begin on-campus initially and then will transition to hybrid format following onboarding and training. Flexible work plans are subject to periodic review and may be changed or terminated at any time for any reason at the university’s discretion.
